ScottishPower Energy Networks

Chess Digital has been the preferred SharePoint partner within the Energy Networks Division since 2012.

ScottishPower's Energy Networks Division transports electricity to around 3.5 million homes in the South of Scotland, Cheshire, Merseyside, North Shropshire and North Wales. 

They distribute the electricity through a network of cables and power lines on behalf of electricity supply companies and it is their role to operate and maintain the electrical supply system in these areas.

Solution

Chess Digital implemented a new document management solution on Microsoft’s SharePoint platform for ScottishPower. 

Chess Digital assisted the Connections business to remodel their existing business processes, historically reliant on file shares and emailing.  In partnership with ScottishPower’s business analysts, Chess Digital designed a solution which not only transferred their existing business processes into SharePoint but also released additional efficiencies within the Connections business.  The Connections business, consisting of 1000 users, use this SharePoint solution as an integral part of their day-to-day working practice.

Chess Digital developed a SharePoint solution that would integrate their existing field data management system. The system allows field operatives to capture data on location through electronic forms. The field returns captured include the following:

  • Third Party Damage
  • Cable Contract Audits
  • START Risk Assessments
  • Data Management Returns

For each field return Chess Digital developed a SharePoint site template to capture the form data being returned by the field operatives.  The sites include a number of complex workflows which amongst other activities it creates document sets and notifies relevant people within the ScottishPower business and third parties when particular events occur with information captured from the field.

Following the initial project, Chess Digital has developed and deployed a number of additional systems for the various operational areas within the Scottish Power Energy Networks business.

In conjunction with continual support for the solution implemented, we then further enhanced the document management functionality and implemented a suitable Records Management solution. Chess Digital developed a custom solution to create the required Records Centres for the Energy Networks division.  Scottish Power is now taking advantage of structured metadata to help classify documentation and taxonomy more effectively and allow objects to be searched for with minimum effort.

To improve usability, Chess Digital also developed a custom search tool which allows users to search all of the Connections Site Collections. Development also included rolling out a custom security model to support the various levels of user access required by ScottishPower.
